What does the manual work actually cost?

Four inputs. The calculator turns your own staffing numbers into the annual hours and dollars going to repetitive admin work. It’s your cost math — not a quote, and never our fees.

Enter the ugly real numbers.

Count only the people and hours that repeatedly touch admin and operations: follow-up, re-entry, scheduling, invoicing, and reporting. The calculator returns the annual hours and dollars you may be able to reclaim — a planning estimate from your own numbers, not a quote.

This tool needs JavaScript. It computes the estimate entirely in your browser — no email, and nothing is sent anywhere.

02 / The math, shown

No black box. This is the whole model — your four inputs, three multiplications:

  1. Annual hourspeople × hours per week × 48 working weeks
  2. Reclaimable hoursannual hours × automatable share (40 / 60 / 80%)
  3. Reclaimable dollarsreclaimable hours × fully-loaded hourly cost

Illustrative example — your inputs above are what count: 3 people × 10 hours a week × 48 weeks = 1,440 hours a year on repetitive work. At $35 an hour fully loaded, that’s $50,400 of payroll — and at a 60% automatable share, roughly $30,240 of it is reclaimable. Those are your costs being modeled, not anyone’s fees.

We use 48 working weeks instead of 52 on purpose — PTO, holidays, and ramp-up are real. If anything, the model undercounts.

Numbers are the start, not the answer.

Which workflow to automate first — and what the payback really looks like — is what the audit scopes. The first call is free either way.
